English and Spanish Intake When Your Team Is Occupied

Your receptionist handles forwarded immigration calls when staff are meeting clients or the office is closed. It takes limited intake information, offers consultation booking, and flags urgent matters for your attorney.

  • Bilingual intakeCallers can speak English or Spanish and switch during the conversation.
  • Forwarding choicesSend busy, unanswered, after-hours, or all calls to your receptionist.
  • Attorney escalationRoute urgent detention calls according to the contacts and rules you set.

An immigration answering service can receive the first request without asking your legal team to stop a consultation. A caller might want to arrange an initial meeting, leave a message for an attorney, or report that a relative has been detained. Your receptionist follows the intake questions and escalation instructions you provide for those situations.

We support English and Spanish at launch. If a caller needs another language, your firm needs a separate way to assist them; the receptionist does not provide multilingual interpretation beyond those two languages. See English and Spanish call handling for the bilingual workflow.

From Parties' Names to the Attorney's Next Step

The call begins with virtual-assistant and recording notices, then parties' names before details. Your receptionist uses your intake rules to take a message, offer a consultation, or escalate urgency.

  • Clear openingThe greeting identifies the virtual assistant and gives the recording notice.
  • Names before detailsGather parties' names first so your firm can review possible conflicts.
  • Defined next stepBook a consultation, take callback details, or contact your on-call attorney.

A family member calling about detention receives your firm's configured urgent-call handling. The receptionist gathers names before a limited account of the request, then follows the contact order you set. For a warm transfer, the attorney hears a short summary and presses 1 to accept the call.

For a routine consultation request, your receptionist can book into Google Calendar or record callback information. It states that the call does not create an attorney-client relationship. Your email and app push alert carry a summary and urgency tag, with a transcript and recording when recording is enabled.

Set Practice Areas, Intake Questions, and Urgent Contacts

You define the immigration matters your firm handles, the information it needs, and which calls require attorney attention. An onboarding chat and your website provide the starting instructions for your receptionist.

  • Practice boundariesSpecify the services you offer and requests your firm does not handle.
  • Urgency instructionsIdentify detention situations that should reach the attorney on call.
  • Booking preferenceChoose Google Calendar consultation booking or have your staff return the call.

Setup starts with a 10-15 question chat about your practice, supported by the website content you identify. Give clear instructions for consultation requests, existing-client messages, and detention-related calls. Name the people who should receive urgent calls and put them in the order your firm wants contacted.

You keep your business number and choose which calls forward to the local number we provide. Use the forwarding guide and make a test call before going live. Later, change settings by telling the AI what to adjust in plain words, then test the revised instructions.

Keep Eligibility, Deadlines, and Case Decisions With Attorneys

Your receptionist collects a request for attorney review; it does not assess immigration eligibility, explain legal deadlines, or predict outcomes. Parties' names support your conflict review without clearing the matter automatically.

  • No eligibility adviceQuestions about available legal options go to an attorney for review.
  • No deadline answersFiling dates and legal time limits remain with your legal team.
  • No representation promiseThe receptionist states that the call does not create an attorney-client relationship.

When a caller asks whether they qualify for a particular immigration option, your receptionist leaves that assessment to your firm: an attorney will review this and get back to you. It collects only the facts your instructions require, rather than encouraging a detailed personal history before names are gathered.

Your firm supervises the instructions and reviews messages. You can choose no stored recording, with the required greeting notices retained. Direct connections to practice-management software are not available at launch; staff can use the summary to enter information into their records. Review our handling of caller information when setting your firm's preferences.

Start with the immigration demo scenario and ask for a consultation in Spanish. Then try a question about eligibility and listen for the referral to an attorney. The demo represents a fictional business, so use made-up names and circumstances.

Request a free trial for immigration intake; we'll email your sign-in link when ready, followed by an onboarding chat. The trial will run for 14 days, capped at 100 minutes; a card will be required before forwarding goes live. Test both a routine consultation and your detention escalation instructions, then review the resulting call records with the person responsible for intake.

Questions

Can callers speak Spanish and switch to English?

Yes. Your receptionist speaks English and Spanish, and a caller can change language during the conversation. The intake sequence still begins with names before matter details. We do not offer other languages at launch, so a practice serving callers who need another language should arrange a separate way to assist them.

How are urgent detention calls handled after hours?

Your firm defines which detention-related requests count as urgent and names the on-call attorney contacts. The receptionist follows that order for a warm transfer or page. During a warm transfer, the attorney hears a short summary before accepting. The AI collects the request and flags urgency; the attorney decides what legal action is appropriate.

Will the receptionist answer questions about immigration eligibility?

No. Eligibility assessments, case evaluations, and legal deadline answers stay with your attorneys. Your receptionist can take the caller's limited details and arrange the next step under your instructions. It explains that an attorney will review the request and get back to the caller, without suggesting that a consultation booking means representation has begun.

Can it collect names for our conflict review?

Yes. It asks for parties' names before collecting the details your firm requests. Gathering those names supports your review; it does not search your practice records or decide that a conflict is cleared. Set the intake questions to collect only what your staff need for the next step and test that sequence before forwarding calls.

Can we disable call recordings?

Your firm can choose not to retain call recordings. The virtual-assistant and recording notices in the greeting cannot be switched off. You can review transcripts and summaries in the dashboard and set your recording preference for firm calls. Decide which information your practice needs before configuring intake questions and directing callers to the service.

How does consultation booking work for our practice?

Your receptionist can book consultations into Google Calendar using your firm's instructions. If your staff need to review the request first, choose callback details instead of booking. It does not give a fee quote unless you have supplied that policy, and it leaves questions about the caller's legal position for an attorney.
